1. General Information

This Privacy Policy describes how personal data and production files are processed within the client panel used for managing production orders (CD, MC, LP). 2. System Overview

The panel is a restricted-access system available only to registered users. Users can: create folders assigned to specific orders, upload production files (audio, graphics, etc.), add files to existing orders at any time. Uploaded files are versioned automatically — duplicate filenames receive a timestamp.

3. Data We Process

We may process: account data (email, name, company details), contact information, technical data (IP address, system logs), uploaded production files, file metadata (names, timestamps, versions), order-related data.

4. Purpose of Processing

Data is processed solely for: production order fulfillment, communication with clients, file handling and verification, internal production workflow, system security and maintenance.

5. Access to Data

Access is limited to: the client (view access only), authorized staff involved in production. Clients cannot delete or overwrite files. All versions are retained.

6. Data Retention

Files are stored: for at least 12 months, or until storage capacity requires cleanup. Older files may be deleted without prior notice. Long-term storage is not guaranteed.

7. Legal Basis

Processing is based on: contract performance, legal obligations, legitimate interest (system operation and security).

8. Client Responsibility

Clients are fully responsible for: legal ownership or licensing of uploaded files, file correctness and production readiness, compliance with copyright laws.

9. Security

The system uses: private server infrastructure (QNAP), access control mechanisms, system logging, internal security measures. No external analytics tools (e.g. Google Analytics) are used.

10. Data Sharing

Data is not sold or shared for marketing. It may be shared only with: production partners (if required), legal authorities (if required).

11. User Rights

Users may: access their data, request corrections, request deletion (where applicable), file complaints with a data protection authority.

This policy may be updated. The latest version is always available in the client panel.

3. Functionality

The panel allows:

• creation of order folders,
• file uploads,
• ongoing file updates.

Clients:

• cannot delete or overwrite files,
• can upload new versions (automatically versioned).

4. Use Rules

Clients agree to:

• upload only files related to their orders,
• use the system as intended,
• not overload the system with unnecessary data.

It is prohibited to:

• upload illegal or harmful content,
• upload unrelated or excessive files,
• attempt to disrupt system operation.

5. Important – Order Requirement

Uploading files alone does NOT start production. A formal order must be submitted and confirmed.

If only files are uploaded:

• the project will not be processed,
• production will not begin.

6. File Responsibility

The client is responsible for:

• file content,
• technical correctness,
• legal compliance.

The company is not responsible for errors in submitted files.

7. Storage

Files are stored on internal servers. Storage duration is limited (typically 12+ months). Old files may be removed automatically.

8. Intellectual Property

The client retains all rights to submitted materials. The company uses files only for order fulfillment.

9. Liability

The company is not liable for:

• client errors in files,
• data loss due to external factors,
• technical issues outside its control.

10. Account Suspension

Accounts may be suspended for:

• rule violations,
• system abuse,
• illegal activity.

11. Changes

These Terms may be updated at any time.
